What is a toolbox talk? 

A 'toolbox talk' is a short presentation to the workforce, normally relating to a specific area of health and safety. They tend to be delivered on-site by the Site Supervisor/Manager or a member of the health and safety team. All individuals who are present for the toolbox talk should sign the briefing register to confirm their understanding of the topic and acceptance of any guidance or rules that have been set out.



How do I record a toolbox talk on the system?

Once a toolbox talk has been delivered on-site and a briefing register completed, this should be uploaded to Competency Cloud by the responsible person. Anyone with supervisor access to the system will be able to upload these. 

To do this, navigate to the Short Duration Talk > In Person Talks option in the left-hand menu. 

At the top of this page you have 2 options - Add In Person Talk or Add In Person Talk via Mandate. Unless you have been specifically told to add the course via a mandate, you should select the Add In Person Talk option. 

Work through and fill in all fields on the pop-up form. You can use the green buttons to quickly add in all individuals in either your managing or personal teams, or you can manually search and tag any employees who were present within the 'Employees Attended' field. You can tag as many employees as required. Upload a copy of the signed briefing sheet as evidence and then press Add at the bottom to save the record.



You can view all toolbox talks an individual has attended by navigating to their profile and clicking on the Health & Safety > Short Duration Talk tabs. For guidance on how to search for an individual on Competency Cloud, please see this article.



Please note: TrainWithUs is not responsible for uploading your toolbox talks. These must be uploaded by the person giving the talk, or another responsible person that has been nominated locally on your contract.



I do not have the 'Short Duration Talk' option in my menu - what does this mean? 

There are many different access levels to Competency Cloud depending on your job role, and only those with a Supervisor level of access will be able to upload toolbox talks. If you do not have this option in your menu, but you are responsible for delivering and/or recording toolbox talks, please get in touch with TrainWithUs so we can update your access level.
